You can now change the insured in the generated sick leave certificate

The relevant software has been finalized by the Pension Fund of Ukraine.

The generated sick leave certificate is sent to the insured through the insured's account on the Pension Fund of Ukraine's electronic services web portal. Information about an employee's employment relationship with a particular insured is based on the data of the Register of Insured Persons, which comes from the sources provided for in Article 18 of the Law of Ukraine "On Collection and Accounting of the Single Contribution for Obligatory State Social Insurance", in particular from the State Tax Service of Ukraine.

Therefore, if, on the date of the sick leave certificate, the employer did not submit a notice of hiring an employee, a report on the unified social contribution, or made mistakes in reporting, as a result of which the sick leave certificate was not included in the insured's electronic cabinet, then after submitting the relevant reports or a notice of hiring, you can send a request to the Pension Fund to change the insured in the already generated sick leave certificates.

To create a request in the menu item "Sick leave certificates" of the insured's office, the button "Request to change the insured in the SLC after submitting the PAYROLL/report" has been added, when you hover over it, the user is provided with the following information message: "The request is submitted by the insured for newly hired employees for whom the EHR was created at the previous place of work, due to the lack of information on new employment relations. The request is sent after submitting the Notice of Employment (conclusion of a gig contract)/Single Social Contribution Report confirming the existence of new employment relations at the time of the insured event."

In the on-screen request form, you should fill in the required data:

  • region (select from the drop-down list);
  • phone number of the insured;
  • EDRPOU code of the insured for whom the sick leave certificate was created and who needs to be changed;
  • EHR number, which is used to change the insured;
  • RNOKPP (optional).

The following is automatically filled in by the system: request number; date of request generation; EDRPOU code (RNOKPP) of the insured; name of the insured/name.

When creating a request, you can also attach scanned copies of documents.

After entering all the necessary data and sending the request, it changes its status to "Sent" and is sent to the Pension Fund for processing.

If the system finds sick leave certificates that meet the conditions for such a replacement, a decision will be made to replace the insured. After that, the employer will be able to view these EHRs in the electronic cabinet in the menu item "Sick leave certificates" using the search option "Insured changed in EHR by request".
